
How to Set Up Email in Outlook on Windows
Microsoft Outlook provides a robust desktop environment for managing business email on Windows. Current versions discover many accounts automatically, while private mail servers may require manual POP3 and SMTP configuration.
Add the Account
- Open Outlook and go to File > Add Account.
- Enter the email address and, if needed, choose the advanced option for manual setup.
- Select POP3 as the account type.
- Enter the incoming and outgoing server names, ports and encryption methods.
- Use the full email address as the username and complete the account test.
Recommended Settings
- POP3: port 995 with SSL/TLS.
- SMTP: port 465 with SSL/TLS or 587 with STARTTLS.
- Keep authentication enabled for the outgoing server.
Send and Receive Problems
If the account test fails, review antivirus email scanning, firewall rules and network restrictions. SMTP ports and authentication are the first checks for sending failures; POP3 server details and credentials are the priority for receiving issues. Large local data files can reduce performance, so review archiving and the option to leave a copy of messages on the server regularly.
